Visa and immigration service terms

These terms set out exactly what our visa support service includes, what remains your responsibility, and how embassy decisions and fees work.

The service we provide

Oxford Holidays provides administrative and advisory support for visa applications: eligibility guidance, document checklists and review, form assistance, appointment support and related travel reservations, according to the package you choose.

We are a private travel consultancy. We are not a government body, an embassy, a visa application centre, and we are not affiliated with VFS Global, TLScontact or any consular authority.

No guaranteed outcomes

Visa decisions are made solely by the relevant embassy or consulate. No agency — including ours — can influence or guarantee an approval, a processing time or the validity period granted.

Any consultant who promises a guaranteed visa should not be trusted. Our promise is honest preparation and clear communication instead.

Your responsibilities

By using our service you agree to:

  • Provide complete, accurate and truthful information and documents
  • Check every form and declaration before it is submitted in your name
  • Attend appointments and biometrics in person where required
  • Tell us promptly if your plans, dates or circumstances change
  • Pay third-party fees — embassy, application centre and courier charges — directly as required

Accuracy and false information

Submitting false or misleading information can lead to refusal and future entry bans. We will decline or stop work on any file where we believe information provided is not genuine, and fees for work already completed will still apply.

Fees

Our package prices cover our support work only. Government, embassy, application centre, translation, courier and insurance costs are separate and payable by you.

Refunds and cancellations are governed by our Refund Policy, which forms part of these terms.

Processing times

Timeframes we share — for appointments, preparation and embassy processing — are estimates based on experience, not commitments. Seasonal demand, embassy workload and individual circumstances can all cause delays, so apply as early as you can.

Immigration advice

Our guidance relates to visitor and short-stay visa preparation. For complex immigration matters, appeals or applications for settlement, we will recommend that you consult a regulated immigration adviser or solicitor.

Liability

We take care with every file, but we are not liable for embassy decisions, delays by third parties, or losses arising from information you did not disclose to us. Nothing in these terms limits liability that cannot be limited under UK law, or affects your statutory consumer rights.
