Flight booking and conditions of carriage

When you fly, your journey is governed by the airline's conditions of carriage. This page explains how that works alongside the booking service Oxford Holidays provides.

Our role as your agent

When Oxford Holidays arranges a flight, we act as your booking agent. The contract of carriage is between you and the airline, and the airline's conditions of carriage, fare rules and regulations apply to your ticket.

We will always provide or signpost the relevant conditions before you confirm your booking.

Tickets and fare rules

Every fare comes with its own rules. Before booking we will confirm:

  • Whether the ticket is refundable, changeable or fixed
  • Change and cancellation fees that may apply
  • Baggage allowances included in the fare
  • Any restrictions on route, dates or passenger names

Schedule changes and disruptions

Airlines sometimes adjust schedules, change aircraft or cancel services. When this happens the airline's conditions and applicable passenger-rights regulations determine your options, which usually include re-routing or a refund for significantly changed or cancelled flights.

We monitor bookings we have made and will contact you promptly if your flight is affected, then help you choose the best available option.

Check-in and travel documents

You are responsible for checking in on time, meeting baggage rules and holding valid travel documents — passport, visas and any health documentation required by your destination and transit points.

Airlines may refuse carriage to passengers who do not meet documentation or conduct requirements, in line with their conditions of carriage.

Special assistance and requests

Tell us at booking time about mobility assistance, dietary meals, travelling with infants, medical equipment or extra baggage, and we will request these with the airline. Some services carry airline charges that we will confirm in advance.

Reservations for visa applications

Where we arrange a flight reservation purely to support a visa application, it is not a confirmed travel ticket and must not be used for travel. We will always make clear which type of booking you hold.
